Position: UJ Art Gallery Administrator

The UJ Art Gallery invites applications for the position of Gallery Administrator. This is an exciting opportunity to join a dynamic team dedicated to excellence in arts administration and exhibition-making. The successful candidate will work closely with the curator to ensure the smooth operation of the gallery’s administrative, procurement, and organisational functions.
Based at the UJ Arts Centre on the Kingsway Campus in Auckland Park, the successful candidate will report directly to the UJ Art Gallery Curator. This is an excellent opportunity for an experienced and detail-orientated individual to make a meaningful contribution to a passionate and professional team at the forefront of advancing the visual arts within a university context.
Key Responsibilities
- Provide comprehensive administrative support to the gallery, including procurement processes, data capturing, reconciliations, and record-keeping.
- Draft correspondence, compile reports, and maintain accurate filing and tracking systems.
- Take and distribute minutes during meetings.
- Assist with scheduling, project timelines, and logistical arrangements for exhibitions and events.
- Maintain and develop organisational systems to ensure efficiency and accuracy in daily operations.
- Liaise professionally with artists, suppliers, partners, and other stakeholders.
- Provide support for internal compliance processes and institutional procedures.
- Manage and maintain databases, contact lists, and relevant documentation.
Minimum Requirements
- Honours degree (or higher) in Art History, Visual Arts, or a related field.
- Demonstrated written and verbal communication skills of a high standard.
- Proven administrative, organisational, and system-creation skills.
- High level of efficiency and the ability to meet deadlines under pressure.
- Excellent interpersonal skills and the ability to work collaboratively within a team.
- Computer literacy, including proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and confidence in learning new digital tools.
- Strong attention to detail, with the ability to handle sensitive information with discretion.
Preferred Attributes
- Experience in arts administration, cultural institutions, or similar environments.
- Familiarity with procurement and financial reconciliation processes.
- Ability to manage multiple priorities in a fast-paced environment.
